Project Management

Project management is the role of ensuring that all aspects of a given production run smoothly by overseeing a number of people/departments.

The project manager would ensure that deadlines that deadline are met and the brief is followed by liaising with others and holding them to account.

Project management is the effective planning and running of a project, from the ideas point to the end product and evaluation.

Planning requires an outline of the tasks, deadlines, contingencies and milestones that will be required to manage the project efficiently.

Tasks that need to be done
Deadlines for each task
Milestones within the tasks and the overall project
Contingencies are back up plans if it goes wrong


Project management tools:

- A gantt chart uses horizontal bars to illustrate project completion dates, progress, milestones and dependencies.
- A bar chart where each bar marks the start and end of each task or activity
- it is a project calendar
- it is the ultimate management tool
- Each bar represents each stage of production
- A gantt chart can also determine if there are any dependencies.
- Displays events and milestones
- The duration of each each event or project
- where tasks overlap with others and by how much
- The start and end of the entire project

  • Workflow tool- split by team member so that it is clear who is doing what, when.
  • initial pitch or treatment-

  • budget proposal form- amount of money needed to film

  • camera shot list- list of scenes that are being filmed.
  • talent release form- legal permission to use someone in your project.
  • location release form- permission to film on certain land

  • shooting script- which scenes in certain order and timings

Daily planner/ call sheets are used each day on production
Ensures everyone on set knows what the goals for the day are, where they're based, when their required to be there and what each individuals role is.
Helpful because it clarifies goals for day in one, simple sheets which can be circulated amongst everyone.
List all resources and logistical details as well as creative aims.

Logistics: forms
These are used to gain permission for a variety of resources.
Besides the ones listed below, there may also be a clearance form (to get permission to use copyrighted audio or video)
They are known as release forms as the individual releases their claim over their likeness, property or ideas by singing.

Individual release form- for individuals working on a project, to sign over the rights to their work and/or intellectual property. often in an employment contract.
Consent form- for all people who appear in production- be they actors employed for the project or members of the public who are perhaps in the background, but with a visible face or audible voice. Note -under 18s require permission from a guardian.
Location form- for all locations used in the film a form must be completed to not only grant access but also to appear on camera. some buildings are subject to copyright law, which makes this form even more important.

  1. This hasn't quite been completed - the end questions are missing responses.

    Also, looking through your list of pre-production documentation pick THREE documents and briefly discuss WHY project management tools (e.g. gantt chart, to do lists) are useful. Remember the four key words = tasks, deadlines, contingencies and milestones
